AHES, Inc. (“AHES,” “we,” “us,” or “our”) is a Massachusetts nonprofit organization that operates the ORRJHS Survival Booster Club and orrsurvival.com.
We respect the privacy of Survival participants, alumni, families, supporters, donors, volunteers, and website visitors. This Privacy Policy explains what information we collect through our website, why we collect it, how we use it, and the choices available to you.
Information We Collect
Donations
AHES accepts online donations through PayPal.
When you make an online donation, your payment information is collected and processed by PayPal. AHES does not directly collect or store your full credit or debit card information.
PayPal provides AHES with information about donations, which may include your name, contact information, donation amount, and transaction details. We use this information to:
- process and document donations;
- send donation acknowledgments and records that donors may need for tax purposes;
- maintain financial and organizational records;
- communicate with donors when appropriate; and
- meet legal, tax, accounting, reporting, and audit obligations.
PayPal’s collection and use of information is also governed by PayPal’s own privacy practices.
Contact Forms
If you contact us through our website, we collect the information you provide, including your name, email address, and message.
We use this information to respond to you and for the purpose for which you contacted us.
Contact submissions are stored privately in our website’s administrative system and are accessible to authorized website administrators. When a submission is received, an email notification is sent to the website administrator. The notification contains a link to the private submission rather than the contents of your message.
Memories and Stories
We invite former participants, volunteers, staff members, families, and others associated with ORRJHS Survival to share memories and stories about their experiences.
A memory submission may include:
- your name and email address;
- the year or years associated with your Survival experience;
- your memory or story;
- one optional photograph or PDF; and
- your optional permission to allow AHES to publicly share the submission.
Memory submissions and attachments are stored privately in our website’s administrative system and are accessible to authorized website administrators. Uploaded files are not automatically added to the website’s public media library.
Nothing submitted through the memory form is published automatically.
The form includes an optional choice allowing you to give AHES permission to publicly share your memory, name, and uploaded material as part of the Survival story.
Submitting a memory does not, by itself, give AHES permission to publish it. If you do not select the optional permission, AHES will not intentionally publish your memory, name, or uploaded material.
If you give us permission to share your submission, we may publish it on orrsurvival.com or use it in other AHES or ORRJHS Survival communications.
You may later contact us to withdraw permission for future use. We will make reasonable efforts to remove the material from AHES-controlled websites and future publications. We cannot guarantee removal of copies that were previously downloaded, shared, archived, or otherwise reproduced by others after authorized publication.
Uploaded Files
Files submitted through the memory form are retained privately for review.
Photographs and other files may contain embedded information or metadata in addition to what is visibly displayed. Before publishing user-submitted material, AHES takes reasonable steps to avoid publicly disclosing information that is not appropriate for publication.
Please submit only material that you have the right to provide to AHES.
Program Photographs and Media
AHES may publish photographs and other media relating to ORRJHS Survival.
For materials provided by Old Rochester Regional Junior High School, AHES relies on the school’s procedures for determining whether photographs and other media are authorized for public release. AHES does not intentionally publish school-provided photographs that the school has identified as not authorized for public release.
If you believe a photograph or other item on our website should not be publicly displayed, please contact us so that we can review it.
Website Information, Security, and Cookies
Like most websites, orrsurvival.com and the services used to operate and secure it may automatically process limited technical information when you visit. This may include information such as:
- your IP address;
- browser or device information;
- pages or resources requested; and
- the date and time of a request.
We use security measures designed to protect the website, prevent unauthorized access, and reduce automated or abusive submissions.
Our forms use a temporary value derived from a visitor’s IP address to limit repeated submissions. This value is used for abuse prevention and expires after approximately one hour.
Our website and the third-party services used to host, operate, and secure it may also use cookies or similar technologies for website functionality, security, visitor management, and related operational purposes.
AHES does not currently use website information for targeted advertising or to build advertising profiles of visitors.
AHES does not sell personal information.
How We Use Personal Information
We use personal information only for purposes reasonably related to AHES and ORRJHS Survival, including to:
- process, document, and acknowledge donations;
- provide donors with appropriate donation records;
- respond to questions and messages;
- administer and support AHES and Survival activities;
- maintain organizational, financial, and historical records;
- preserve voluntarily submitted memories and historical materials;
- publish memories or other submissions when the person submitting them has given us permission;
- operate, maintain, and protect our website; and
- comply with legal, tax, accounting, reporting, audit, and other organizational obligations.
How We Share Information
AHES does not sell personal information.
We may provide information to companies or individuals that help us operate the website or organization, such as our website hosting provider, payment processor, security providers, or professional advisers. We provide or allow access to information only as reasonably necessary for those purposes.
We may also disclose information when required by law or when reasonably necessary to protect AHES, ORRJHS Survival, our website, or another person.
Information that you specifically authorize AHES to publish may become publicly available.
Children and Student Privacy
ORRJHS Survival is a school program involving students, and AHES recognizes the importance of protecting information about minors.
AHES’s website donation, contact, and memory-submission forms are intended for adults and are not intended to collect personal information directly from children.
AHES does not use information about students or other minors for advertising or commercial profiling.
When AHES receives program photographs or other media from Old Rochester Regional Junior High School, we rely on the school’s procedures for determining whether those materials are authorized for public release.
If a parent, guardian, participant, or former participant believes that information or a photograph concerning a minor has been posted improperly, please contact us so that we can review it promptly.
Email Communications
AHES does not currently operate a general email mailing list.
If we offer an optional mailing list or similar service in the future, participation will be voluntary and recipients will be able to unsubscribe from general email communications.
Administrative communications, responses to inquiries, donation acknowledgments, and communications relating to a transaction or request are separate from any optional mailing list.
How Long We Keep Information
We retain information according to the purpose for which it was collected.
Ordinary contact-form submissions are generally retained until the matter is resolved and for a reasonable period afterward.
Donation, financial, and organizational records may be retained as necessary for tax, accounting, reporting, audit, legal, and recordkeeping purposes.
Memories and historical materials may be retained as part of AHES’s private historical archive whether or not you give us permission to publish them. Choosing not to permit public sharing does not prevent AHES from retaining your submission privately.
If you would like AHES to delete a private memory submission or other information you provided, you may contact us. We will honor reasonable requests when we are not required or otherwise reasonably obligated to retain the information.
Your Choices and Requests
You may contact AHES to:
- ask about personal information you have submitted to us;
- correct information you previously provided;
- request deletion of information you submitted, when appropriate;
- withdraw permission for future publication of a memory or other submission; or
- ask us to review a photograph or other information displayed on our website.
We may need to retain certain information for legitimate organizational, financial, legal, security, historical, or recordkeeping purposes.
Third-Party Services and Links
Our website uses or may link to services operated by other organizations, including our website hosting provider and PayPal.
Third-party websites and services have their own privacy practices. AHES is not responsible for the privacy practices of websites or services that we do not control.
Embedded content or links to another website may allow that website to receive information when you interact with its services.
Changes to This Privacy Policy
We may update this Privacy Policy from time to time as our website, programs, technology, or legal obligations change.
The current version will be posted on orrsurvival.com, together with the date it became effective.
